HOTEL POLICIES

Check-In / Check-Out for hotel guests: Check-in at Double Bay Beach Hotel is at 3pm and check-out time is 12 noon. The hotel will make every effort to adjust the stays of our guests if ETA information is provided when booking. Late check-out requests can only be made through the reception desk and are subject to availability. Additional charges may apply.

Change / Cancellation Policy (Flexible Rates only):

  • Bookings canceled up to 21 days prior to arrival are normally refunded (the amount of the down payment, minus postage, bank charges, or online payment processing fees, if any).

  • In case of cancellation within 21 days prior to your arrival, 30% of the total amount of the reservation will be charged (=the total amount of the down payment).

  • In case of no-show or early departure, a minimum of 30% of the total price of the reservation will be charged and the reservation will be canceled.

  • In case of a change/reduction in the number of nights of a reservation, within 21 days prior to your arrival, you will be charged a change fee that is equal to 50% of the booking amount that corresponds to the nights the reservation was reduced.

Cancellation Policy (Non Refundable Rates):

  • No alteration and no cancellation of these reservations is permitted.

  • When booking, the total amount of the stay will be charged to your selected payment method (full prepayment).

  • The reservation is strictly unchanged and in case of cancellation the prepayment is not refundable.

Deposit / Guarantee:

All flexible reservations/bookings must be secured at least 72 hours prior to your arrival with a deposit equal to 30% of the total reservation amount, guaranteed by charge of a major credit card, PayPal or bank deposit. All final non-refundable bookings must be paid in full prior to your arrival.

The hotel will not secure any reservation unless guaranteed by the above methods.

Please arrange your payment within four (4) working days of booking date, and in case of bank/wire transfer send us a copy of the transaction by email. If we don’t receive payment, electronic or other, within four (4) working days from the date of booking (or 72 hours prior to arrival - whichever comes first) , the booking will be automatically cancelled.

During check-in /out, our guests are free to use a different form of acceptable payment for their stay.

Smoking Policy: Smoking is forbidden in the rooms, corridors and all of the hotel's enclosed areas. A €250 cleaning fee will be billed to your account during your stay or after check-out if it is discovered that smoking occurred in your room.

Kitchen Use Policy:

  • Guests are responsible for the proper use of kitchen in their rooms/suites.

  • Preparation of food that may produce long lasting odors in the room is prohibited.

  • The room shall be properly aired during and after the kitchen facilities have been used for any type of cooking. (pause the A/C and open the windows during cooking)

  • The ventilation must be used during cooking. In case the room/suite is delivered with strong food smells that have permeated the furniture and fabrics, a cleaning fee of $350 will be placed on the guest's bill before or after check-out.

  • Guests are responsible for cleaning and washing up the dishes and used cookware after each meal.

  • Housekeeping is not responsible for kitchen cleaning or washing up used dishes and utensils.

  • If you have no intention of using the kitchen and you'd rather not have sharp objects in the room where your children may have access to please notify us. We'll be happy to remove them from the room.

  • The hotel will not bear any responsibility for accidents that take place due to parents' negligence or failure to avoid unauthorized use of any of the kitchen appliances and accessories by minors.

Pet policy: Only service animals allowed. Please inform us when booking about your intention to come with a guide dog to the hotel, so that we can make the necessary arrangements.

Children & Additional Persons:

  • Infants and children up to 3 years old are housed free of charge in their parents' bed or in a baby cot that is placed in the room. Maximum number of baby cots per room/suite is one (1). [Please request baby cot in the “Notes” section of the online booking page where you'll enter the payment details]

  • For children aged 3+ up to 8 years the charge is €25 per night including breakfast (must be entered as “Children” when booking online)

  • For children 8+ years old and adults the rate is 25% of the room rate per night per person with breakfast. (must be entered as additional “Adults” when booking online)

  • Maximum capacity of extra beds / baby cots in a double room is 1. Maximum capacity of persons in a double room is 3. Maximum capacity of persons in a suite is 4.

  • The Extra bed fee might not be calculated automatically in the total cost when booking online. In that case it will be charged and paid separately during your stay.

  • Baby cots and extra beds are provided upon request and availability. Please contact us before your arrival to ensure we have the proper arrangement for your bedroom.

Disability Access Policy: Double Bay Beach Hotel is 100% compatible with the disabled access law in Greece. We offer an accessible room in the hotel. Please provide us details about your personal accessibility needs in the online reservation form or by calling us directly at +30 218 218 7181 after booking, so we can make your stay more comfortable.

Swimming Pool Regulations

  • All children under the age of 16 should use the pool only when supervised by a parent-guardian.

  • The hotel does not bear any responsibility for incidents/accidents due to parental neglect / unsupervised children.

  • The swimming pool hours are 9 am until sunset.

  • Guests are strongly advised to use the pool at least 2 hours after their last meal.

Children's Playground Regulations

  • All children up to 10 years of age are allowed to use the playground only under the supervision of a parent / guardian.

  • The playground hours are from 11am - until sunset.

  • The hotel does not bear any responsibility for incidents - accidents due to parental neglect / unsupervised children.

Policy for children:

  • Children under the age of 10 should be accompanied by parents / guardians at all times during their hotel stay. The hotel does not bear any responsibility for incidents/accidents due to parental neglect / unsupervised children.

  • Parents / guardians are responsible for the use of sharp objects and electrical appliances in the room's kitchen. We will be glad to remove sharp objects from the room and exclude the use of devices to avoid accidents.

  • The hotel will not be held responsible for any accidents caused by unauthorized use of appliances and kitchenware by minors.

Minimum Age Requirements: All guests must be 18 years old or older to confirm the reservations/book rooms at Double Bay Beach Hotel. Valid ID or passport must be presented at the time of check-in for age verification. Accommodation with access to minibar and alcohol will only be granted to these guests with a valid ID confirming age 21 and over. Any visitor not meeting the minimum legal age of 21 years of alcohol will be denied any room service that includes alcohol.

Hotel Payment Policy:

The remaining balance of bookings made with a 30% deposit will be charged upon check-in.

The hotel reserves the right to check the validity of credit cards, at any time needed.

COMPLAINT MANAGEMENT POLICY AND PROCEDURE

Double Bay aims and wishes to continuously improve the services it provides to its customers. Effective complaint handling is fundamental to providing quality services and is an essential mechanism for customer feedback in order to identify weaknesses in policies and processes.

To this end, the hotel has established and developed a Complaint Management Policy and has set guidelines on how to receive and handle complaints sent. The implementation of this policy ensures that the complaints submitted will be fair and expeditious with efficiency and confidentiality.

Policy Statement

Double Bay through this policy commits that complaint handling will be immediate and fair by ensuring that:

  • The complaint will be studied in depth and with fine handling.

  • It will be fair to you and to any person in his or her workforce who may be referred to the complaint.

  • There will be no charge for submitting the complaint.

  • This policy will always be available on the website, elafonisosdoublebayhotel.com

  • The personal data protection as defined by the European Union and the relevant Law and its amendments (On Personal Data Processing Law 2001) will always be respected.

 

  • Complaints will be recorded and analyzed at regular intervals to identify and resolve problematic procedures and practices and to avoid repetitive omissions.

  • Individuals referred to in the complaint or responsible individuals for complaints handling will not be involved in investigating the complaint if there is a conflict of interest.

  • The hotel staff will be continuously trained and will have direct access to the complaint management policy, always aiming at their effective management.

  • The board of directors, the management and the workforce of the hotel recognize your right to complain and are committed to a fair and effective solution to problems that may arise from the services it offers.

The complaints management system included in this Policy and the internal procedures applied will be reviewed at least annually to ensure the transparency, efficiency and customer satisfaction of the hotel.

1. Who can make a complaint

Any complaints may be submitted by guests/staff to the hotel owner.

2. The first contact point

The first contact point, if you are not satisfied with any of the services we offer, should be the hotel reception. Our goal is to offer an immediate solution right away to ensure you have an excellent experience from our hotel and clearly before your departure.

3. Complaint stages

We stress that all formal complaints should be sent in writing. This protects your rights and gives you the opportunity to handle all complaints fairly, discreetly, effectively and consistently.

  • include details of your reservation (or agency) and contact details

  • describe your complaint clearly

  • -be specific about the reasons why you are complaining

  • report your expectations about resolving the problem

4. Time to handle a complaint

If the response to your formal complaint is not feasible, it will be investigated within the following time frames:

  • Sending an acknowledgment of receipt within two working days of receipt.

  • Your complaint will be investigated within 15 business days and the response will be sent directly to you.

  • In individual cases where more time is needed for a more rigorous and thorough investigation, we will request an extension in writing. In the letter we will mention, in addition to the additional information we may need, the actions we have already taken and the actions to be taken to complete the investigation, so that your information is complete.

  • Our goal will be to send the reply within 10 business days from the day we inform you that we need more time or from the day we receive any additional information we have requested from you.

5. Right to information

During the investigation of your complaint, you have the right to ask for information about its course of action by contacting the hotel.
